Responsibilities:
- Organize and schedule meetings and appointments
- Produce and distribute correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Submit and reconcile expense reports
- Provide general support to visitors
- Prepare and monitor invoices
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks,participating in professional societies
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Organize travel arrangements for senior managers
- Book conference calls, rooms, taxis, couriers, hotels etc.
- Take accurate minutes of meetings
- Reply to email, telephone or face to face enquiries
- Resolve administrative problems
- Communicate with internal and external partners
- Handle the payment of bills
- Write projects and carry out research
- Present sales, revenue and expenses reports to the management team
- Negotiate all contracts with prospective clients
- Visit clients and potential clients to evaluate needs or promote products and services
- Providing excellent customer service and follow up with potential clients
- Maintain a strong understanding about product inventory, features and technical specifications to answer specific customer questions
- Prepare and submit sales contracts for orders
- Handle other duties as assigned
Requirements:
- Graduate degree in sciences will be an added advantage
- Knowledge of project management
- Knowledge in B to B sales
- Excellent written and verbal communication skills
- Proficient in Microsoft office
- Creative and innovative
- Ability to Multi-task
- Attention to details and problem-solving skills
- Strong organisational and planning skills
